The story

Why we built it

Most maintenance disputes don't happen because someone acted in bad faith. They happen because the record is poor — no photos, no timestamps, no clear chain of who authorised what.

Property managers carry the accountability without the tools to prove what was done. Tenants raise disputes years after the fact. Landlords question costs without being able to see the evidence.

PropLog treats maintenance history as a long-lived asset. Every issue logged against a property stays there permanently — surviving tenant turnover, tradesperson changes, and agency transitions. The record belongs to the property, not the person who submitted it.

The result is a system of record that holds up: timestamped, photographed, and traceable from first report to confirmed completion — whether tenants report via WhatsApp, a signed link, or directly through the portal.

WhatsApp issue reporting

Tenants report maintenance by messaging PropLog on WhatsApp. Guided conversation captures category, description, photos, and urgency — no app, no login.

Signed link submission

Property managers share a unique link per property. Tenants open it in any browser, describe the issue, and upload photos without creating an account.

Tradesperson coordination

Assign jobs to tradies from your verified database. They receive a secure link, upload before and after photos, and submit quotes — all from their phone browser.

Tenant confirmation loop

After work is completed, tenants confirm or reject via WhatsApp or a signed link. This closes the record with a dispute-proof outcome.

Landlord visibility

Property owners get read-only access to every issue, photo, and status change on their properties. Quote approvals are handled directly in PropLog — no phone tag.

Property maintenance timeline

Every action is logged with timestamps and actor attribution. The full history survives tenant turnover, tradesperson changes, and agency transitions.
