PropLog — Property Maintenance Management Platform

1. About These Terms

These Terms of Service ("Terms") govern your use of PropLog, a property maintenance management platform operated by DEVOPSPLANT PTY LTD.

By creating an account or using PropLog, you agree to these Terms. If you do not agree, please do not use the service.

PropLog is an early-stage product under active development. These Terms may change as the platform evolves. We will notify users of significant changes.


2. What PropLog Does

PropLog is a maintenance history ledger for rental properties. It helps property managers, tenants, tradespeople, and landlords track maintenance issues, coordinate repairs, and maintain an auditable record of property maintenance — including photos, timelines, and status updates.

PropLog is:

  • A maintenance record system
  • A risk-reduction tool
  • A trust-building platform

PropLog is NOT:

  • A trades marketplace
  • A property listing site
  • A communication or messaging app
  • A payment processing platform

3. Who Can Use PropLog

3.1 Eligibility

PropLog is available to:

  • Individuals aged 18 or over
  • Businesses operating in the Australian property management industry
  • Users invited to the platform by an organisation or property manager

3.2 User Roles

PropLog supports the following user roles, each with different levels of access:

  • Tenant — Can submit maintenance issues, upload photos, view issue status, confirm completed work, and contact their property manager
  • Agent / Property Manager — Can manage properties, create and assign issues, manage tradespeople, invite team members, and oversee maintenance workflows
  • Tradesperson — Can view assigned jobs, update job status, upload before/after photos, and manage their availability
  • Landlord — Read-only access to property maintenance history for properties they own

3.3 Organisation Roles

Within an organisation (e.g. a property management agency), members may have additional roles:

  • Admin — Full organisation management including invitations, member management, and settings
  • Property Manager — Can manage properties and issues within the organisation
  • Viewer — Read-only access to properties and issues
  • Tradesperson — Can view assigned work and update issue status

4. Your Account

4.1 Account Creation

Accounts are created through our authentication provider (Auth0). You may sign up using email/password or a supported social login provider.

4.2 Your Responsibilities

You are responsible for:

  • Providing accurate and truthful information
  • Keeping your account credentials secure
  • All activity that occurs under your account
  • Notifying us promptly if you suspect unauthorised access

4.3 One Account Per Person

Each person should maintain one account. Do not share account credentials with others. Organisation features (team invitations, role-based access) are the proper way to give others access.


5. Organisation Accounts

5.1 Creating an Organisation

Property management agencies can create an organisation on PropLog. Organisation creation requires:

  • Organisation name
  • Contact email
  • Australian Business Number (ABN)

5.2 Verification

Organisations may undergo verification to build trust on the platform:

  • Email verification — confirming the organisation's email address
  • ABN verification — validating the ABN against the Australian Business Register
  • Domain verification — confirming ownership of the organisation's email domain

Verification is not mandatory for basic use but may be required for certain features.

5.3 Organisation Administrators

The person who creates an organisation is the primary administrator. Administrators can:

  • Invite and remove team members
  • Assign roles and permissions
  • Manage organisation settings
  • Create and manage properties

Administrators are responsible for the actions of their team members on the platform.


6. Subscriptions and Payment

6.1 Plans

PropLog offers subscription plans with varying levels of access:

All prices are in Australian Dollars (AUD) and may be subject to GST.

6.2 Free Starter Plan

New organisations start on the free Starter plan. No payment details are required. The Starter plan includes up to 10 team members and 10 properties.

6.3 Billing

  • Paid subscriptions are billed in advance on a monthly or annual basis
  • Payment processing is handled by Stripe
  • You are responsible for keeping your payment method current
  • Failed payments may result in service interruption

6.4 Cancellation

  • You may cancel your subscription at any time
  • Cancellation takes effect at the end of the current billing period
  • We do not provide refunds for partial billing periods
  • Your data remains accessible for a reasonable period after cancellation to allow export

6.5 Plan Changes

Plans, pricing, and features may change. We will provide reasonable notice before any price increases affect existing subscribers.


7. Acceptable Use

7.1 You May

  • Use PropLog to manage legitimate property maintenance activities
  • Upload photos related to property maintenance issues
  • Invite legitimate team members, tenants, tradespeople, and landlords
  • Use the platform in accordance with Australian property management practices

7.2 You Must Not

  • Provide false or misleading information (e.g. fake property addresses, fabricated issues)
  • Use the platform for anything unrelated to property maintenance
  • Attempt to access data belonging to other organisations or users
  • Upload content that is offensive, illegal, or unrelated to maintenance
  • Use automated tools (bots, scrapers) to access the platform without permission
  • Misuse property addresses or personal contact details obtained through the platform
  • Interfere with or disrupt the platform's operation
  • Attempt to circumvent security controls, role-based access, or address masking features
  • Share your account credentials or impersonate another user
  • Use the platform to harass, intimidate, or spam other users

8. Content and Photos

8.1 Your Content

You retain ownership of content you upload to PropLog (including photos, descriptions, and comments). By uploading content, you grant PropLog a licence to store, display, and transmit that content as necessary to operate the service.

8.2 Photo Uploads

  • Photos must be related to property maintenance (issue documentation, before/after evidence)
  • Accepted formats: JPEG, PNG, WebP, HEIC
  • Maximum file size: 10MB per photo
  • Photos become part of the property's maintenance record

8.3 Maintenance Records

Maintenance records (issues, timelines, photos) are retained as part of the property's history. This is a core function of PropLog. Deletion of individual records may be limited to preserve the integrity of the maintenance ledger.


9. Privacy and Data

Your privacy matters to us. Please read our Privacy Policy for details on how we collect, use, and protect your information.

Key points:

  • We collect only what's needed to operate the platform
  • We do not sell your data
  • We do not use tracking cookies or advertising
  • SMS and email notifications are transactional only
  • You can request access to, correction of, or deletion of your personal data

10. Service Availability

10.1 No Uptime Guarantee

PropLog is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted, error-free, or secure operation of the platform.

We are a small team building an early-stage product. While we work hard to keep the service running, outages and bugs will happen.

10.2 Maintenance and Updates

We may perform maintenance, deploy updates, or make changes to the platform at any time. We will try to provide advance notice for planned downtime, but this is not always possible.

10.3 Changes to Features

As an evolving product, features may be added, changed, or removed. We will communicate significant changes to users.


11. Limitation of Liability

11.1 No Warranty

To the maximum extent permitted by Australian law, PropLog is provided without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

11.2 Limitation

To the maximum extent permitted by Australian law:

  • PropLog (and DEVOPSPLANT PTY LTD) is not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the platform
  • Our total liability for any claim related to the service is limited to the amount you paid to PropLog in the 12 months preceding the claim, or $100 AUD, whichever is greater
  • We are not liable for actions taken by tradespeople, property managers, landlords, or tenants in the real world — PropLog is a record-keeping tool, not a guarantee of service quality

11.3 Australian Consumer Law

Nothing in these Terms excludes or limits any rights you may have under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010) that cannot be excluded or limited by law.


12. Indemnification

You agree to indemnify and hold harmless DEVOPSPLANT PTY LTD, its directors, employees, and agents from any claims, damages, or expenses arising from:

  • Your use of PropLog
  • Your violation of these Terms
  • Content you upload to the platform
  • Your violation of any third-party rights

13. Termination and Suspension

13.1 By You

You can stop using PropLog at any time. To delete your account, contact us at support@proplog.com.au.

13.2 By Us

We may suspend or terminate your access if:

  • You violate these Terms
  • Your actions pose a security risk to the platform or other users
  • Your subscription payment fails and remains unresolved
  • Required by law

We will try to provide notice before termination, except in cases of serious violation or security risk.

13.3 Effect of Termination

Upon termination:

  • Your access to the platform will cease
  • Your organisation's data will be retained for a reasonable period to allow export
  • Maintenance records may be retained as part of the property history where necessary
  • We will delete personal data upon request, subject to legal and operational requirements

14. Intellectual Property

14.1 Our IP

PropLog, including its design, code, branding, and documentation, is owned by DEVOPSPLANT PTY LTD. You may not copy, modify, distribute, or create derivative works from PropLog without our permission.

14.2 Your IP

You retain ownership of content you create and upload. We do not claim ownership of your maintenance records, photos, or descriptions.


15. Disputes

15.1 Governing Law

These Terms are governed by the laws of Australia. Any disputes will be subject to the jurisdiction of Australian courts.

15.2 Resolution

If you have a concern, please contact us first at support@proplog.com.au. We'll do our best to resolve it directly.


16. Changes to These Terms

We may update these Terms as PropLog evolves. When we make significant changes:

  • We will update the "Last updated" date at the top
  • We will notify affected users via email or in-app notice
  • Continued use of PropLog after changes constitutes acceptance

17. Miscellaneous

  • Entire Agreement — These Terms, together with our Privacy Policy, constitute the entire agreement between you and PropLog regarding use of the service.
  • Severability — If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full force.
  • No Waiver — Our failure to enforce any provision does not waive our right to enforce it later.
  • Assignment — We may assign these Terms in connection with a merger, acquisition, or sale of assets. You may not assign your rights under these Terms.
