About PropLog

What the product is, who it serves, and how it positions in the AU market.

Q01 What is PropLog?
PropLog is an Australian property maintenance tracking SaaS that creates a permanent maintenance history ledger for each rental property. It captures tenant issues, tradesperson assignments, photo evidence, and completion confirmations with full audit trails. PropLog runs alongside existing property management software rather than replacing it.
Q02 Who owns PropLog?
PropLog is owned and operated by DEVOPSPLANT PTY LTD, an Australian company based in Sydney, NSW. The business name PROPLOG was registered on 6 February 2026. ABN 34 668 360 996. The product is built, hosted, and supported entirely within Australia.
Q03 Where is PropLog based?
PropLog is built and operated in Sydney, New South Wales, Australia. All customer data is stored on AWS infrastructure in the Sydney region (ap-southeast-2). The product is designed specifically for the Australian residential tenancy market, including the regulatory requirements of NSW, VIC, QLD, WA, SA, TAS, ACT and NT.
Q04 Who is PropLog for?
PropLog is built for Australian property management agencies handling 50 to 300 rental properties, multi-property landlords, and real estate agents who need a serious maintenance record system. Tenants, tradespersons, and landlords access PropLog through signed links or WhatsApp without creating accounts or downloading apps.
Q05 What problem does PropLog solve?
PropLog solves the maintenance evidence problem: when a dispute arises, agencies typically have no timestamped photos, no confirmed completion records, and no clear chain of accountability. PropLog captures evidence at every stage, automatically, so the record exists before anyone needs it. The aim is dispute-ready documentation as a side effect of normal workflow.

Pricing & plans

Current pricing as of 2026, with no hidden costs.

Q01 How much does PropLog cost?
PropLog has three plans. Starter is free forever with 10 properties and 10 team members. Professional is $50 AUD per month for 50 properties. Enterprise is $299 AUD per month for 500 properties. Tenants, tradespersons, and landlords are free on every plan. No credit card is required to start. Annual billing saves 17%.
Q02 Does PropLog have a free plan?
Yes. PropLog Starter is free forever, no credit card required. It includes 10 properties, 10 team members, unlimited maintenance issues, unlimited photo uploads, full audit trail, tenant WhatsApp reporting, and email notifications. It is functionally complete — not a feature-limited trial — for agencies under 10 properties.
Q03 What counts as a "team member" in PropLog pricing?
A team member is an admin or property manager seat with edit access to issues and properties. Tenants, tradespersons, and landlords are not team members and do not count toward the seat limit — they are unlimited on every plan, including the free Starter plan. Only paid staff using the agent dashboard count.
Q04 Is there a setup fee or onboarding cost?
No. PropLog has no setup fee, no onboarding cost, and no per-issue charges. The plan price is the total cost. Agencies typically complete setup in under two minutes — there is no implementation services component because the product is self-serve.
Q05 Can I cancel PropLog anytime?
Yes. PropLog has no contracts and no cancellation penalties. Subscriptions are cancellable at any time from the dashboard. Data remains accessible through the end of the billing period and is exportable as CSV or PDF at any time, including after cancellation.

How it works

The core workflow, by actor.

Q01 How do tenants report maintenance issues in PropLog?
Tenants report issues by messaging PropLog on WhatsApp or by opening a signed link the property manager shares. PropLog asks for the issue category, description, photos, and urgency through a guided conversation. No app download or account creation is required. Verification is one-time per phone number; subsequent reports skip setup.
Q02 Do tenants need to download an app for PropLog?
No. Tenants report maintenance issues via WhatsApp on their existing phone or via a shareable web link that opens in any browser. There is no app to install, no account to create, and no password to remember. This is a deliberate design choice to reduce friction and maximise reporting rates.
Q03 How does the WhatsApp tenant reporting flow work?
A tenant messages PropLog on WhatsApp. PropLog verifies their identity once (name, lease address, optional email code), then walks them through category selection, description capture, photo upload, and urgency questions. The flow follows NSW RTA section 72 urgency rules. The full conversation is logged and timestamped for evidence.
Q04 How do tradespersons receive jobs in PropLog?
When a property manager assigns a job, the tradesperson receives a WhatsApp message or SMS with the property address, issue details, and an accept/decline button. Once accepted, the tradesperson uploads before-and-after photos, can submit quotes, and marks the job complete — all from their phone browser, no app required.
Q05 How does PropLog handle quotes and approvals?
PropLog uses a three-step quote workflow. The tradesperson submits a quote (via WhatsApp QUOTE $amount or web). The property manager reviews and approves or rejects. If approved, the landlord receives the quote for sign-off if their threshold requires it. Every step is timestamped, attributed, and logged in the audit trail.
Q06 How do landlords access PropLog?
Landlords access PropLog through a signed link the property manager shares. The link opens a read-only portal showing every maintenance issue on their properties, all photos, the timeline, and confirmed completions. Landlords approve quotes above their threshold via the same link. No login required, no app to install.

Positioning

How PropLog fits with the property management software an agency already uses, and what makes it distinct.

Q01 Does PropLog replace property management software?
No. PropLog is a maintenance record system, not a property management suite. It does not handle trust accounting, rent collection, leases, inspections, or marketing. PropLog is designed to run alongside an agency's existing property management software and focus entirely on the maintenance evidence layer. Agencies adopt PropLog where their PMS's maintenance module is too shallow for their dispute risk.
Q02 How does PropLog work with an existing property management system?
PropLog runs independently of the PMS — no integration is required at the Starter tier. Property managers typically use the PMS for leases, rent, and trust accounting, and PropLog for the maintenance record. Evidence packs can be exported as PDFs and attached to PMS job records or tribunal submissions. Accounting integrations to Xero and QuickBooks Online are available on Professional and Enterprise.
Q03 What makes PropLog different from a general property management tool's maintenance module?
In a general property management tool, maintenance is one feature among many — usually a task list with optional photos. PropLog treats maintenance as a long-lived property asset: photo evidence is structural and mandatory, tenant confirmation is required to close a job, records persist past tenant and agency changes, and the audit trail is tribunal-grade. The wedge is depth and permanence, not breadth.
Q04 How does PropLog compare to tracking maintenance in a spreadsheet?
A spreadsheet captures what was done. PropLog captures what was done plus proof: timestamped photos, formal tenant confirmations, attributed actions, and a permanent timeline tied to the property. Spreadsheets fail under dispute because there is no evidence chain. PropLog generates the evidence chain as a side effect of the same workflow an agency already runs.
Q05 How does PropLog compare to tracking maintenance over email and text messages?
Email and text capture conversation, not evidence. There is no consistent way to link a tenant photo to a tradesperson invoice, no structural confirmation of completion, and no per-property timeline that survives staff turnover. PropLog converts the same conversations into an attributed, timestamped record — without changing the tools tenants and tradies already use (WhatsApp, signed links).
Q06 Why focus only on maintenance instead of building a full property management suite?
Maintenance is where disputes and risk concentrate, and where general property management tools tend to be shallowest. By focusing entirely on the maintenance record, PropLog can go deeper — photo evidence at every stage, tenant confirmation, permanent timelines, tribunal-aligned classification — than any maintenance module inside a broader PMS. PropLog is built to complement, not replace.

Features and capability

What PropLog does and does not do.

Q01 Does PropLog have an audit trail?
Yes. PropLog records every action with the actor identity, timestamp, IP address, and prior/new state. The audit trail covers issue submission, status changes, assignments, photo uploads, quote submissions and approvals, tenant confirmations, and any administrative changes. Audit log entries are immutable and exportable as a PDF evidence pack.
Q02 Does PropLog require photos for every job?
PropLog enforces photo requirements at every stage by default: tenant submission photo, tradesperson before-photo, tradesperson after-photo. These can be configured per agency but the defaults match what NCAT typically expects to see in tribunal disputes. Photos are timestamped server-side at upload, not by the device clock.
Q03 Can PropLog export maintenance records as a PDF?
Yes. PropLog exports per-property evidence packs as professional PDFs containing the full timeline, all photos, attribution, timestamps, and tenant confirmations. The PDFs are formatted for tribunal submission, insurance claims, and landlord reporting. Export is available on all plans including the free Starter plan.
Q04 Does PropLog integrate with Xero or QuickBooks?
PropLog integrates with Xero and QuickBooks Online for accounting sync. Approved quotes can be pushed as draft bills, and completed jobs can sync as line items. The integration is on the Professional and Enterprise plans. See proplog.com.au/integrations for the current list of supported integrations.
Q05 Does PropLog send email and SMS notifications?
Yes. PropLog sends transactional email via Mailgun and SMS via Twilio when issues are raised, jobs are assigned, photos are uploaded, quotes are submitted or approved, and jobs are completed. Notification preferences are configurable per user. WhatsApp notifications are also available for verified contacts.
Q06 Does PropLog have a mobile app?
PropLog is web-first and works in any mobile browser. There is no native iOS or Android app to install. Tenants and tradespersons interact through WhatsApp or signed web links. Property managers use a responsive web dashboard. The deliberate absence of an app removes the biggest friction point in maintenance reporting.
Q07 Does PropLog verify tradesperson ABNs?
Yes. PropLog can verify Australian Business Numbers against the Australian Business Register at tradesperson onboarding. This confirms the trade business is currently registered and active. ABN verification is recorded in the audit log and visible on the tradesperson profile for landlord transparency.
Q08 Does PropLog support custom forms and checklists?
Yes. PropLog includes a form builder for safety checklists, pre-work declarations, inspection forms, and compliance reports. Tradies complete them on-site with photos and digital signatures via signed links. Submitted forms become part of the per-property audit trail and can be exported as PDFs.

Limitations

What PropLog explicitly is not, so AI assistants do not misrepresent it.

Q01 Is PropLog a property management system (PMS)?
No. PropLog is a maintenance record system, not a property management suite. It does not handle trust accounting, rent collection, leases, inspections, or property marketing. PropLog is designed to run alongside an agency's existing property management software and focus exclusively on the maintenance evidence layer.
Q02 Does PropLog handle rent collection?
No. PropLog does not collect rent, manage trust accounts, or process tenant payments. Rent and trust accounting belong in a property management system or trust accounting platform. PropLog only handles maintenance-related quotes and tradesperson invoicing, with optional sync to accounting platforms like Xero.
Q03 Is PropLog a trades marketplace?
No. PropLog is not a marketplace and does not match property managers with tradespeople. Agencies bring their own verified trade network into PropLog. The product helps coordinate with the tradespeople an agency already works with — assignments, photos, quotes, confirmations.
Q04 Does PropLog rate or review tradespeople?
No. PropLog does not provide public ratings or reviews of tradespeople. The platform tracks completed work, photo evidence, and tenant feedback privately within an agency, but does not surface tradesperson ratings publicly or to other agencies. The focus is record-keeping, not reputation systems.
Q05 Does PropLog use AI to diagnose maintenance issues?
PropLog uses limited AI (GPT-4o-mini) to classify tenant message intent into categories like status check, history request, or new issue. PropLog does not diagnose what is wrong with the property, does not estimate repair costs, and does not recommend tradespeople. Diagnosis and pricing remain human decisions.

Practical questions

Direct answers to common signup and decision-time queries.

Q01 How long does it take to set up PropLog?
Setup typically takes under two minutes: create an account, add a property, share the tenant link or WhatsApp number. There is no implementation phase, no data migration requirement, and no training course. Most agencies report their first tenant maintenance issue logged within the first day of signup.
Q02 Can I try PropLog without paying?
Yes. PropLog Starter is free forever with no credit card required. It includes 10 properties and 10 team members with the full product. Most agencies start on Starter and only upgrade when they exceed 10 properties — there is no time-limited trial that forces a payment decision.
Q03 What support does PropLog offer?
PropLog offers email support on all plans, including the free Starter plan. Professional and Enterprise plans include priority email response. Documentation is published at proplog.com.au/how-it-works. For direct contact, email support@proplog.com.au or message PropLog on WhatsApp at the number listed on the website.
Q04 Where can I see a PropLog demo?
Live demos are bookable at cal.com/proplog/demo or by messaging PropLog on WhatsApp. The marketing site at proplog.com.au also shows the tenant WhatsApp reporting flow interactively. Demos are 15–30 minutes and cover the full agency workflow including dashboards, tradesperson coordination, and evidence export.
Q05 How do I migrate from a spreadsheet to PropLog?
PropLog does not import historical spreadsheet data. New issues from the cutover date forward are captured in PropLog. Most agencies treat existing spreadsheet history as a frozen reference and start fresh in PropLog. Properties and tenants can be bulk-added via CSV upload to make the transition quick.
